Central repository

No more keeping copies of documents on multiple computers! Simply add your files to Sohodox and it keeps them in one central location. The central repository is easy to backup. You know you will not miss any document.

Document Type

Using the powerful Document Types feature, you can save specific indexing information with each document (e.g., store Invoice Number, Invoice Date, Invoice Amount with each stored Invoice and store Sender Name, Date with each stored Letter).

Quick Search

Quick Search is always available at the top right. Simply type and hit ‘enter’ and Sohodox will fetch the document for you!

Folders and Tags

You can arrange your documents in folders or just classify documents by attaching multiple text tags to them. Or you can combine both these methods if you wish – a real quick way to locate documents.

Manage all types of documents

Add any type of file on your machine simply by dragging & dropping it onto Sohodox (e.g., MS Word, MS Excel, PDF, JPEG and AutoCAD files). Email messages or just their attachments can be dragged & dropped from MS Outlook. You can select, drag & drop text from a document or a web page too!

Thumbnails

Sohodox also allows you to preview large thumbnails of documents so you know what’s inside without needing to open the documents.

Full Text Search

You can extract text from image files using built-in OCR. Text can also be extracted from MS Word documents, PowerPoint files, Excel files, Web pages and Email messages. Extracted text is stored in a database, so that you can quickly find documents containing any text you specify.

Improve Efficiency

Language Support (New)

Sohodox is currently available with an English, Spanish, French and Slovak user interface. Though the user interface (menus, messages etc.) is currently available in the above mentioned languages, you can store documents and data in any language in Sohodox.

Advanced Search

Sohodox offers a ‘quick search’ box as well as a way of creating multi-condition queries (for e.g., “All invoices under $500 from January 2008″). You can even save your queries and re-use them later! Use this feature to cut down the time you spend on searches.

Built-in Word and Excel Viewer

Do not have MS Office on your machine? No problem. Sohodox’s built-in MS Word and MS Excel viewer allows you to view .doc, .docx, .xls and .xlsx files. It also allows you to view password protected .docx and .xlsx files. What’s more you can even annotate and stamp MS Word and MS Excel files the same way as you could with files such as TIFF and PDF files (annotations cannot be burned on MS Word or MS Excel files).

Backed by a database

Sohodox stores its data in an MS Access database. This means your information is never locked up in a proprietary system.

Batch Addition

Batch addition features let you quickly find/select multiple documents and add them to Sohodox. You can also use the batch scanning features to scan and add multiple documents using a scanner with an ADF (Automatic Document Feeder) attachment. Import indexing data from CSV files. Now scanning and file-addition are no longer laborious and time-consuming!

Work Smarter

Multi-user

Multiple users can log-in and access their respective documents from the same repository. This helps you get work done faster. Each user has private folders that no one else can access.

Folder Monitor

You can set up Sohodox to automatically import files from a particular folder on your computer. If your scanner is not TWAIN compatible but stores the scanned documents to a folder, you can set up the folder monitor feature to fetch such documents too!

Email Capture

You can configure Sohodox to capture all your email messages from one or more email accounts and store them. This feature works with any mail server which supports the POP3 protocol (e.g. Gmail). You can also set up Sohodox so that if any email has an attachment, Sohodox will capture and store the attachment as a separate document by itself. The email and its attached documents will automatically get linked to each other.

Annotation

Want to highlight or mark a certain part of the document and add a Note beside it? Or add Stamps or your Signature to the document? Sohodox helps you do it all.

Link between documents

You can jump from one document to another in a snap of a finger once you’ve created multiple links between the related documents. E.g., you can link an invoice to a check or a letter to its reply.

Secure

User Authentication

Each user has to log-in with their unique username and the password set by them. They can only see the documents they own and the documents that have been shared to them. This secures access to the documents.

Public/Private Folders

Each user can manage their private documents in their private folder hierarchy. They can also add documents to a public folder to make them accessible to everyone.

Open Design

Sohodox does not in any way modify your documents when you add them. The documents are stored unchanged in their original format. Also any indexing information you add is stored in an industry standard database.

Backup and Restore Utility

Sohodox ships with a backup and restore utility that makes it very easy to backup and restore your Sohodox DB. The utility supports encrypted and multi-volume backups.
